How to Write a Strong Fire Alarm Service Ticket

Why documentation matters

A service ticket is the technical record of what was reported, what the technician found, what actions were taken, and what condition remained when the site was left. It supports customer communication, future troubleshooting, billing, code compliance, warranty decisions, and liability management.

Start with the reported condition

Identify who reported the issue, the time or pattern, affected area, panel message, and whether the system was normal when you arrived. Avoid turning the customer’s description into a confirmed diagnosis. Write “customer reported intermittent ground fault during rain” rather than “water-damaged wiring” until the cause is verified.

Document the diagnostic path

List the important checks in a logical order: panel history reviewed, circuits isolated, voltages measured, devices inspected, programming compared, central station contacted, or related trades coordinated. Include values and locations where they matter. “Checked batteries” is weaker than “measured 27.4 VDC charger output and found one battery swollen with a 1.8 VDC imbalance between batteries.”

Describe the repair precisely

State the exact component, location, and work performed. Include model numbers when relevant. Note whether wiring was re-terminated, a damaged section replaced, a device cleaned, programming corrected, or a temporary measure installed. Do not describe a temporary bypass as a permanent repair.

State the final system condition

Record panel status, disabled points, monitoring status, functions tested, and whether the system was fully restored. If a deficiency remains, describe the affected protection and the responsible next step. Avoid vague statements such as “needs further work.”

Write recommendations that can become action

A useful recommendation identifies the scope, reason, and priority. For example: “Replace the exterior horn/strobe backbox and 20 feet of moisture-damaged cable; circuit currently restored but insulation damage is likely to recur.” When additional diagnosis is needed, state the next test, required access, or trade coordination.
